Job Brief


DigitLab is a full-service social media and digital marketing agency grounded in creative, design, strategy, content, development, research, and engaging interaction. Based in Durban, we are looking for a dynamic individual who wants to be a part of an amazing team!

The Office Assistant is responsible in helping with the organisation and running of the daily administrative operations of the company.

Responsibilities


  • Organise office and assist operations and traffic in ways that optimise procedures
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Schedule meetings in meeting rooms
  • Monitor level of supplies and handle shortages
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Answer the phone and direct the call or take messages
  • Greet clients and vendors upon arrival and direct them to appropriate offices
  • Design and maintain filing and storage systems in the office
  • Schedule travel arrangements for staff as well as clients, when applicable
  • Maintain office supply inventory
  • Retrieve documents and files when requested
  • Assist traffic with Magnetic task and reports
  • Assistance in content uploading for some web or mobile applications
  • Occasionally leaving office to buy supplies for the office, or meetings/workshops or management lunches
  • General office administration
  • Basic Accounting: Invoicing (debtors and creditors), petty cash recons, statements, claims etc.

Requirements


  • Able to work independently with little or no supervision;
  • Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people;
  • excellent organisational and time management skills;
  • good IT skills, including knowledge of a range of software packages;
  • the capacity to prioritise tasks and work under pressure;
